What is workflow automation?
Workflow automation is the practice of replacing manual, repetitive steps in a business process with software that runs those steps automatically. A trigger event — a form submission, a new row in a spreadsheet, an incoming email — kicks off a sequence of actions across your tools: creating records, sending messages, updating databases, generating documents.
The distinction from custom software development: automation works with the tools you already use (Google Workspace, Salesforce, Slack, Jira, Airtable, and hundreds more) rather than building new systems from scratch. Implementation is measured in days, not months.
What kinds of workflows do I build?
The most common categories I work on:
- Employee onboarding and offboarding — Account creation, licence provisioning, Slack channel setup, document signing, access revocation. Reduces IT and HR time per hire from 4–8 hours to under 30 minutes.
- CRM synchronisation — Keeping Salesforce, HubSpot, or Pipedrive in sync with the rest of your stack: automatic contact enrichment, deal stage updates triggered by email, call summary logging.
- Invoice and document processing — AI-assisted extraction of structured data from incoming PDFs (invoices, contracts, receipts), routed to your accounting system (Abacus, Bexio, SAP) for review and booking.
- Alert routing and incident response — Security and infrastructure alerts triaged, enriched, and routed to the right Slack channel or on-call system — removing the human relay step.
- Lead qualification and follow-up — New leads enriched, scored, and routed before a sales rep touches them. Follow-up sequences triggered by deal stage or inactivity.
- Report and dashboard generation — Weekly or monthly data pulled from multiple sources, aggregated, and distributed as formatted reports or Slack summaries.
Which tool is right for your business?
Use when: Complex multi-step workflows, Swiss/EU data residency requirements, custom code nodes, self-hosted on your infrastructure.
Avoid when: If your team needs to manage it without technical support.
Use when: Visual workflow builder, strong EU data hosting, 1,000+ app connectors, ideal for operations teams who need to edit workflows themselves.
Avoid when: Very high-volume workflows (operation costs scale quickly).
Use when: Simple two-to-five step workflows, fast setup, widest app catalogue. Best when team-managed simplicity matters more than data residency.
Avoid when: Sensitive data under strict revDSG/GDPR interpretation, or complex conditional logic.
Most projects end up on n8n. It handles complex branching logic, supports self-hosting for Swiss data residency requirements, and has no per-task pricing that scales against you as volume grows.
Swiss data residency and revDSG compliance
Under Swiss revDSG (in force since September 2023) and EU GDPR, routing personal or business-sensitive data through a US-hosted SaaS automation platform constitutes data sharing with that vendor. For many Swiss companies — particularly those handling employee data, client contracts, or financial records — this requires either a valid Data Processing Agreement (DPA) with the tool provider or choosing a tool hosted within Switzerland or the EU.
n8n can be self-hosted on infrastructure you control: a VPS with a Swiss or EU provider (Exoscale, Nine.ch, Hetzner EU), or on-premise. This means your data stays within your defined perimeter and is never shared with a third-party SaaS vendor. Make is EU-hosted and includes a DPA. Zapier is US-hosted.

Discovery call (free)
We map the process as it exists today, identify which parts are automatable, and estimate scope and timeline. No commitment required.
Proposal
A written scope with defined deliverables, timeline, and cost in CHF. Fixed-price for bounded projects, time-and-materials for exploratory or ongoing work.
Build
I build and test the automation incrementally, using real data (with a sandbox environment where possible). You see it working before it goes live.
Handover
Full documentation, walkthrough call, and a 30-day support window. If your team needs to manage or extend the workflow, I build in that capability from the start.
